Booking conditions, practical information and GDPR
We really look forward to your booking and are so excited to show you the best of Scandinavia, but please take a few minutes and read through this information before you submit your booking.
Package tours and travel guarantees for tour operators:
Mid Scandinavia Tours is a proud member of the Swedish Travel Guarantee Fund. In the unlikely event that our business faces financial trouble, your money is in safe hands. The fund will step in to ensure your investment is protected, and you’ll get your funds back without any hassle.
We have arranged a travel guarantee with Kammarkollegiet.
This means that you can receive compensation if your trip is canceled or interrupted due to our insolvency.

This is included in the price:
- All transports in Scandinavia which also includes bridge tolls and road taxes. Please note that the transport to the start point of your tour not is included, you need to book the flight ticket yourself!
- All hotells and ackommodation.
- Breakfast every day and the other meals that are mentioned under the tour description for each tour. Lunches can be served as a buffé, lunch packs or options from a restaurant menu. Dinners are served by the table or as a buffé. Alcohol and drinks is never included even though the meal is submitted as included.
- Separate beds can be requested but we can’t guarantee anything neither can we guarantee a specific size on the bed.
- All hotels on the Midsummer tour have their own toilet and bath or shower.
- All accommodations on the Christmas tour have their own toilet and bath or shower except from one night when the toilet facilities are shared.
- The pilgrim tour offers a bit more simple accommodation and toilet and bath or shower are shared facilities on some of our accommodations.
- The activity’s mentioned as included are included in the price, the optional activities are on you own cost.
- A local Scandinavian guide from Mid Scandinavia Tours.
- In case of deviation from the above, this is stated in the travel description.
Important information:
- Note that many places in Scandinavia just take card payments and not cash.
- Extra cost for single room will be added to the price for the tour if your travel companion cancels the booking later than 45 days before the start of the tour.
- Start and end point for the tour is informed in the tour description, this is not a hop on and hop off bus. If you want to make changes you need to inform us first.
- You cannot book a special seat on the bus, but everyone will get the chance to sit in the front once during the tour. You need to except the seat you get directed to. All our busses have seat belts and air-condition. There is no toilet in the bus, but we will stop for toilet brakes often.
- If you have problem to walk, need for a special diet or something similar it’s important that you inform us when you do your booking.
- You are responsible to take care of your own luggage during the tour and keep up with the tempo with the rest of the group to make it possible to fulfill the itinerary.
- Always inform us if you need a wheelchair or something similar with you on the bus tour so we can see if it is possible on the tour you want to book. Let us have a dialogue before you make your booking, maybe a tailor made tour is the right choice for you.
- If you have a reduced mobility that effect you a lot, we recommend to take someone with you on the tour that can help you out, because our guide and bus driver need to take care of everyone on the tour and cannot spend too much time with helping a specific person.
- We are always trying to fulfill your wishes, but we can’t guarantee that we manage to do so.
- Complaints that the guide in person or Mid Scandinavia Tours haven’t been informed by during the tour will not be taken care of after the tour. Please inform us as fast as possible when something happens to you during the tour, or you feel dissatisfied.
- Due to decisions beyond our control, program points, destinations, restaurants or hotels may be changed, and, in that case, it will be changed to something equivalent. This will be announced upon departure.
- We reserve the right for price changes beyond our control and possible printing errors.
- A maximum of one bag of 23 kg and one piece of hand luggage of 10 kg is what you can take with you on the bus tour. Mid Scandinavia Tours can make changes according to the luggage sizes if you book a tailor-made tour.
- You will be traveling with an English speaking guide and you need to have standard English skills to understand the guide.
Important information before you travel to Scandinavia (this is not a complete list, and you are responsible yourself to check everything up before you travel):
- Make sure you have a valid passport and check if you need visa to enter Sweden/Norway.
- Always have a good travel insurance valid for the entire stay and take all the papers linked to the insurance with you.
- When you book your flight make sure you enter the name exactly as it appears in the passport.
- You are responsible for having valid travel documents.
- Usually, you don’t need any vaccinations for traveling to Scandinavia but it’s your responsibility to make sure you have the vaccinations that you want and need before you enter Scandinavia.
Booking conditions:
Full payment is made when you do your booking.
The maximum number of travelers on a tour is 15 and we will cancel the tour if we get less than 4 travelers booked on the tour. You will receive an automated confirmation email upon booking, and a second email which will state the status of your booking. Please wait to book your flights and other travel arrangements until you have received further instructions. If the tour don’t reach the minimum number of participants, we will give you a full refund on the tour.
The online booking close 45 days before the start of the tour. If it is shorter than 45 days to the start of the tour and you want to make booking, please contact Mid Scandinavia Tours trough e-mail and we will let you know if it is possible to make a booking. If you book the tour later than 45 days before the start of the tour, the full payment is due 3 days after Mid Scandinavia Tours has confirmed your booking.
If you need to cancel your booking:
Cancelation of your booking must be done by email and is not confirmed until Mid Scandinavia Tours has replied to you. If you cancel your tour 45 days or more before the start of the tour Mid Scandinavia Tours gives you full refund except for the 10% deposit payment. A later cancelation than 45 days before the start of the tour gives no refund.
Make sure you have a valid travel insurance and cancellation protection. The traveler contacts his or her insurance company about a possible refund. Even if the cancellation protection is taken out through the insurance company the costs are charged as above. We will send a cancellation notice with the information your insurance company needs for any payment from them.
Force majeure is the reason a tour can be canceled without refund given.
We follow the Public Health Authority’s recommendations in Sweden.
Subject to change
Mid Scandinavia Tours reserves the right to change times, prices, payment, booking or discount conditions at will. Prices for coming seasons are always preliminary and are subject to change.
Complaints/Disputes
Any errors that occurs during your stay must be reported immediately to the staff at Mid Scandinavia Tours. If you have not reported any complaints or errors during your stay and therefore neglected to give Mid Scandinavia Tours the opportunity to correct any mistakes, you can not demand any compensation afterwords. If you are not satisfied with your compensation, you have to notify Mid Scandinavia Tours in writing within 14 days from arriving home.

What is personal data?
Personal data is all information that can be directly, or indirectly together with other data, linked to a living natural person.
The GDPR provides the following rights to data subjects, i.e. individuals whose data is processed:

- Right of access
- Right to rectification
- Right to erasure (right to be forgotten)
- Right to restriction of processing
- Right to data portability
- Right to object
- Right not be subject to a decision based solely on automated processing

Your right to be informed about why and how we process your personal data:
Mid Scandinavia tours store and process your personal data that we receive when you do your booking. We store the data to make it possible to contact you and book hotels and activities for you. We also need your personal details to know how have booked the tour. Mid Scandinavia tours store the data in a customer register. The data we store is name, telephone, address, email address and your booked trip.
The data from the customer register can be used to send out the travel catalog and offers by email. We only send newsletters to those who actively consent to it in advance. In every newsletter that we send out, there is always a description of how the customer can be deleted from our register.
Private information that we collect before a trip is not saved in our customer register. That mean you need to inform you about special diet or smiler things before every tour you book with us although you have been traveling with Mid Scandinavia Tours before.
We will also send your information to third parties if needed. It can be that we send over names and date of birth of travelers to the hotels we will visit and to activity organizers.
Since many of our customers return at long intervals, we have chosen to save personal data for 10 years.

Your right to right of access to your personal data:
You can access your personal data by sending an request by email and we will respond within one month. We will always send over the information that we are storing without any fee.
Your right to rectification your personal data:
You have the right to rectification you personal data. Contact us and we will correct the data that we are storing that is incorrect or no longer up to date. We have the obligation to rectify the data and reply to you within one moth. The third parties that we share your personal data with will also be informed by your rectification request.
Your right to erasure (right to be forgotten):
You as an individual have the right to have your data erased. In other words they have the right to be forgotten. Mid Scandinavia Tours will reply to your request as soon as possible but never later then one moth. The third parties that we share your personal data with will also be informed and obliged to remove your personal data. You can make an erasure request by sending us and email.
Right to restriction of processing:
You have the right to request us to restrict the processing of your personal data. This can be the case if you dispute the accuracy of the your data or if you oppose the erasure of data unlawfully processed. This can also be the case if you need the data for legal claims or if you have objected to processing pending verification whether data should still be processed.
We will up on request restrict the use of your personal data. We will also inform all third parties about your requested restrictions.
Right to data portability:
You have the right to receive the data that Mid Scandinavia Tours are holding about you and transfer the data to another provider.
Right to object:
You have the right to object to the processing of personal data concerning you «on grounds relating to your particular situation». The right to object can only be exercised if the processing is based on one of the following legal bases:
– the legitimate interest of the organization or of a third party; or
– the performance of a task carried out in the public interest or in the exercise of official authority.
Right not be subject to a decision based solely on automated processing:
You has a right not to be subject to a fully automatic decision (i.e. without any human intervention in the decision making process), that has legal effects or significantly affects the person in question.
